Seven questions to answer before you switch

  1. Which countries are actually involved?

Make one list of countries where your business is VAT-registered, where it physically holds goods, where it sells, and where it expects to expand. These can be different lists. Include any UK warehouse separately from EU locations.

  2. Which returns are being filed today?

Record whether your existing provider handles each national VAT return, Union OSS, IOSS (if applicable), corrections or historical returns. An OSS arrangement is not necessarily a replacement for every national filing obligation. A qualified adviser should assess your particular flows.

  3. What is the last period your current provider will cover?

Ask your current provider in writing for the last return period they will prepare, submission evidence and any outstanding filings. Agree which party is responsible for the first return after the handover to avoid a gap or duplicate work.

  4. What evidence and access can you obtain?

Ask how to retrieve historical return confirmations, registration certificates, submitted data and reconciliation reports. Keep confidential records within your business and share them only through the chosen specialist’s approved secure onboarding process, not through a public introduction form.

  5. Can the replacement provider handle your complete setup?

Describe your sales channels (for example Amazon or Shopify), entity location, inventory countries and approximate transaction volumes. Ask whether the proposed provider can accept your registrations and manage current, corrective and ongoing filings in the required countries.

  6. What is included in the total price?

Request a written breakdown of subscription fees, per-country filing charges, initial onboarding or transfer fees, extra registration services and any historical-work charges. Compare the total cost for your actual country and filing profile, not only the headline price.

  7. How will the handover be confirmed?

Before cancelling, obtain a written acceptance and start date from the replacement provider, including responsibilities for open VAT periods. Clarify how filing access, instructions and data will be transferred safely.

Why a handover checklist matters in 2026

Taxdoo publicly announced that it would end its previous VAT services on 30 April 2026 and focus on accounting. The change is a concrete reminder to verify the filing owner for every reporting period, rather than assuming that software access alone means an ongoing filing obligation is covered.

The European Commission also publishes OSS guidance explaining how special VAT schemes work. These general schemes require specialist review in the context of your own countries and transaction types.
